The Administrative Assistant provides administrative, membership, financial, event, and customer service support to the Blackstone Valley Chamber of Commerce President and CEO and the Director of Programs and Events.

This position serves as a primary point of contact for members, visitors, vendors, and community partners while helping ensure that office operations, membership records, payments, projects, and events are managed accurately and efficiently.

Duties and Responsibilities

  • Answer incoming telephone calls, respond to general inquiries, take messages, and greet members and visitors.
  • Maintain electronic and paper files, calendars, spreadsheets, databases, and other office records.
  • Monitor and order office and conference room supplies.
  • Prepare correspondence, mailings, meeting agendas, reports, and other administrative materials.
  • Enter and maintain accurate member and contact information in the Atlas CRM system.
  • Assist members with questions regarding membership, invoices, payments, events, and Chamber resources.
  • Update UniPay and Atlas with membership dues, payments received, outstanding balances, and membership amounts owed.
  • Assist with invoice mailing, accounts receivable, payment processing, and financial documentation.
  • Follow up with members regarding outstanding invoices, membership renewals, event registrations, and other Chamber initiatives.
  • Work alongside the Director of Programs and Events with event planning, preparation, registration, setup, and on-site support.
  • Prepare event materials, including attendee lists, name tags, signage, programs, and registration materials.
  • Maintain the BVCC Project Tracker and assist staff with meeting project deadlines.
  • Participate in staff meetings and contribute ideas and suggestions.
  • Assist with special projects and other duties as assigned.

Required Qualifications

  • Previous office administration, customer service, or related experience.
  • Ability to work effectively in a team environment.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Strong written and verbal communication skills.
  • Excellent organization, follow-through, and attention to detail.
  • Ability to manage multiple priorities and deadlines.
  • Professional and welcoming demeanor.
  • Experience communicating with the public in business and networking settings.
  • Comfort learning and using CRM systems, online payment platforms, and event registration software.
  • Ability to handle membership and financial information accurately and confidentially.
  • Ability to lift and transport materials weighing approximately 30–40 pounds.
  • Valid driver’s license and access to a reliable vehicle for Chamber meetings and events.
  • Availability to assist with occasional early-morning, evening, and off-site events.
